For many of us here in the Northeast, we are in the "tougher weather months" now.  Springtime will be here before we know it, and we only have another 90 days of cold weather - fun, wow!

In Summary         
The browser wars are back!  In the early days of the Internet, we had Microsoft's Internet Explorer competing against Netscape.  Up until recently, Internet Explorer has been the understood browser of choice.  Today however, Mozilla Firefox is being used more and more as an alternative to Microsoft's browser.  That being said, you should take the time to review your website and make sure it functions properly under Firefox (www.getfirefox.com).  Tweaks may need to be made to your site to support the Firefox browser, especially if it utilizes Microsoft's "FrontPage Extensions" that add effects like "flying text" or scrolling  text on your pages.  If you have issues with your website and Firefox, we can help.
 
Are you paying attention to the proper execution of your backup strategy?  Recently, we have seen data loss due to some folks "sleeping at the wheel" in terms of making sure that the the backup has successfully completed each night and proper rotation of tapes is being used.  Please take the time to review your backup plan, your 2-week cycle of tapes and be prompt in reporting problems to us. Your whole business is on your servers – please PROTECT YOUR DATA!
 
Spyware has been a "beast" and will continue to be.  We are in the process of working through a "server centric" way of managing this problem through new products that are beginning to be released.  We will keep you posted.  In the meantime, use the desktop tools we have discussed in the past – Lavasoft's Ad-Aware and Spybot Search & Destory to name just a few..
 
Using VOIP (Voice Over IP) is becoming the "thing to consider" for all businesses.  For personal use, services like Vonage make this choice very affordable and an easy decision.  Using VOIP in the office, however, needs to be well-orchestrated between all of your technology partners.  With VOIP, you are now merging the voice and data worlds, so everyone needs to be in-sync.  If you are considering VOIP with your phone company, it is in your best interest to have CDS involved with the process.  We can help make sure that the connectivity to your system remains in a consistent and accessible state.  Please keep us in the loop if you are considering VOIP technology.

Video Conferencing becomes more and more feasible every day.  Everyone is "on-the-go," but they still need to communicate with their customers and fellow associates.  The CDS Video Conferencing System can help you with this, and is built right into the CDS Online System.  In the latest revision, we are supporting up to four simultaneous video streams and have incorporated a Shared Meeting Notes area, similar to a Chat session.  You may also view any of the video streams in Expanded (Zoom) Mode for easier viewing.  Please consider using the free CDS Video Conferencing System to conduct online meetings with your customers, vendors, and associates.  You may also want to consider implementing a branded videoconferencing/chat system similar to ours on your website in an effort to streamline communication between you and those with whom you do business.
 
Enhance the relationship you have with your customers by creating for them accessibility to your business system from your website.  It may be time to review how your customers can better use the information stored within your system, thereby supporting E-Business and/or E-Commerce on your website.

Blacklisted, again.....

SPAM is becoming more and more out of control every week.  One of the more recent hassles we have been hearing from many of our customers involves getting blacklisted, and it can easily happen to you through no fault of your own.

You can tell that you have been blacklisted when you attempt to send a message and get a response like:

How does it happen?  Spammers fake the "headers" on their less-than-desirable emails, so they may be using your address as the sender of the message.  When spammers use your email address as the sender, you receive messages from the System Administrator account telling you that your message did not reach the intended recipient.  You did not send this message, but the recipient’s email server thinks you did.  And after receiving hundreds of thousands of email from you to random users on their network, they report your company as a spammer to a universal blacklist!

Because you are now on a universal blacklist, you will start receiving "undeliverable" notices for legitimate emails you send telling you that your message could not be delivered because your email server has been blacklisted.  This now affects everyone within your organization that tries sending email to this company (or any company that uses that particular universal blacklist to manage their spam).

What can you do to "clear your name" and be able to get your emails through to customers and vendors?  You need to remove your domain name from the blacklist that is blocking you.  We have been using a free tool at http://mxtoolbox.com/ where you simply enter your domain name (like ‘copelanddata.com’) right on the home page.  The records returned have a "Blacklists" button that will show who is blocking you.  Clicking the name of the blacklist will provide instructions on how to remove your domain name from that particular blacklist.  All but a few of these are free and are as easy as clicking a "Remove Me" button.  Results are not immediate, but your blacklist entry may be cleared in a few days.  If you are blacklisted, please give this procedure a try.  If the blacklist entry is more stubborn in its ability to release your domain, please get our involvement so we can help you out with the removal of these more difficult blacklist entries.


Managing Spam and Viruses

Just one of the uglier sides of the web is SPAM, or unwanted emails – sent to us to try to sell us something or damage our internal systems.

While server-based software was once able to effectively control incoming SPAM, over time it loses its effectiveness.  The rules change daily, as spammers work very, very hard and are using very sophisticated techniques to get SPAM through your filters and to your Inbox.  At the same time, hackers are working equally as hard, each and everyday, to get virus-laden emails through to your desktop.  The SPAM and virus game has proven to be very dynamic, and no single piece of software on your server can combat this ever-changing game.

How do we, as business owners, solve this problem once and for all so we can go back to being effective at our desktops once again?  The solution to this problem is to have all email that comes into your organization managed by a service that specializes in these problems.

A business called POSTINI is all about Integrated Message Management.  They serve over 35,000 businesses, 8.6 million end-users and 3.5 Billion email messages each and every week!

The way this works is as follows:

1. Your company subscribes to the POSTINI service.
 
2. All email sent to your domain will be sent to POSTINI for processing.  Internally to your systems, we change the MX record – which is a pointer that tells email where to go.
 
3. POSTINI will filter your email, sending SPAM and virus-based email into a separate container.
 
4. POSTINI sends all good email to your server, blocking SPAM and virus-infected emails.
 
5. This all happens instantaneously; there is no delay in receiving messages.
 
6. While the default settings work very well for most customers, you can adjust to your needs the type of emails your domain wishes to receive.  Additionally, individual end-users within your company can change their own settings, if you permit them to.
 
7. Any email that is SPAM or contains a virus is not directly delivered to the end-user.   These messages can, however, be reviewed by the end-user via the POSTINI website.

Since POSTINI is a service and not a product, there are no up-front costs nor long term contractual commitments.  You pay a fee for each mailbox, per month, usually at a cost below $2/user/month.
