In Summary         
When you buy new desktops and servers, it is your best interest to have a filing convention to save any Media or License information for that PC or Server in a safe place. System problems may mean that we have to go back to this information well after it has been installed and running. The better your filing system, the easier it is to find this information when you need it. Some companies will establish envelopes for each PC where all software/license/warranty information can be kept in one place. Each envelope is marked with the name of the the user, and all envelopes are filed in one place for safe keeping.  When we need this software for desktops or servers at a later date, it is easily accessible.
 
Get information out to your sales representatives' cell phones quickly and easily with text messaging. Using your business system and Mailclone, you can send your sales reps real-time order status or other vital information, regardless of where they are. Think about how you can customize this technology for your business.
 
Did you know that the latest DELL Desktop PCs may not include the media required to restore a PC back to its "initially shipped" software? As the price of desktops continue to fall, the manufacturers are cutting corners where they can. In many cases, you can request the media when needed, knowing there may be a lag time of a day or two. Also, in some cases, media can be purchased up front at an additional cost.
 
Consider using POSTINI to fight email spam and viruses. We are now a Postini reseller and have successfully set up many of our customers with excellent results. See the article below for additional information.
 
Verizon Wireless has been working on their Broadband Access service, where a notebook PC equipped with a Broadband Access card can get high speed access to the Internet full-time for a fixed monthly fee. The service is available in Syracuse and Rochester and will be coming to the Buffalo area soon. Buyer beware – the coverage area of this Broadband Access service does not necessarily follow the same coverage area as your cell phone. Check into coverage maps before you sign on the dotted line when buying Wireless Broadband service from any provider.
 
Small businesses today are now starting to think about ways of managing "all this paper," and document management is now being discussed. While there is no single "blanket" solution for all situations, let us know if you want to discuss document management as it relates to your organization.
 
In so many ways, our desktops may look a lot like our basements in terms of organization and the number of obsolete items we continue to hang onto. For your systems to remain clean and efficient, email cleanup is critical. Email systems like Microsoft Exchange Server begin to struggle when users allow their mailboxes to grow out-of-control. It may be time to institute a company policy on what should be left in your INBOX, SENT MESSAGES and DELETED MESSAGES at any given point of time. By failing to control how users manage their mailboxes, your server will "bloat" and as you run out of disk space on your server, critical services will fail to run. The best way to prevent this situation to set policy making associates accountable for what is stored in their Email folders. Consider having your associates institute a monthly "cleanup" of old items they no longer need.

Do you use UPS to ship your products? UPS WorldShip can be integrated into your business system at various levels. Tracking information and freight cost can be automatically updated for each order in your business system. Furthermore, order confirmations and tracking information can automatically be emailed from your system without operator intervention.
 
Wireless networking via 802.11x standards is a very popular choice for setting up your home network. As the technology is getting better, wireless is being used in specific business environments as well. While many home users do not pay attention to the lack of security in a non-encrypted wireless configuration, perhaps they should. Unless you employ security on your wireless router at home, your neighbors or random passers-by have easy access to your home network. In a business environment, we make a point of implementing some type of security on the wireless devices to prevent "drive-by" access of your network by a user outside your building.
 
We have a CDS Webmail Service for all users who need email addresses attached to their domain name, yet do not want to manage this internally with their own Exchange Server. For anyone subscribed to this service, CDS Webmail can be accessed via Outlook/Outlook Express or directly through your web browser. Accessing mail through your web browser has its advantages, as it is truly "Email at any place, any time." We have recently upgraded this service and have implemented the new "Lookout" theme, which conveniently looks a lot like Outlook.

For any current CDS Webmail Subscriber, you can logon to this new web interface directly from any page on copelanddata.com. If you do not have your own Exchange Server and want to use your own domain name (tom@yourcompany.com, for example) in the CDS Webmail Service, please let us know.


Office Mobility Using Your Phone

Nowadays, the IT marketplace is focusing on getting timely information to people regardless of where they. Mobile users demand more connectivity and need access to email, the Web and business systems.

While many of our customers are already receiving business email on their cell phones and mobile devices, you may want to consider extending your business system functionality to support mobile email for your customers and employees in today’s fast-paced, "need to stay connected" world. Many phones support this feature, and while small changes may need to take place on your business systems to allow for this, it may be time to consider the benefits.

To take this one step further, many cell phones today have Internet access capability. This means that while you can browse the web on your phone, you can also use that technology to increase accessibility to your business system. Having access to specific functions on your business system from a cell phone can be used for your associates as well as your customers.

We now have some basic functionality for our customers in our CDS Online for Mobile Devices. Many of you are using CDS Online through our website to manage projects and alert us to concerns. With CDS Online for Mobile Devices, this functionality is extended to your cell phone – anywhere, anytime.  Simply point your phone's browser to copelanddata.com and log in with your email address and password.

Using this same technology, we can bring mobile access to your systems as well. Whether you use the technology for customer accessibility or for associates working in the field, imagine the possibilities. POSTINI – Submitting Spam for Review

Many of our customers are using POSTINI now to combat SPAM and Virus activity linked to emails. Spammers are increasingly more and more clever, and POSTINI works 24/7 on continuing to close that gap between wanted and unwanted email.

As users of POSTINI, you can send POSTINI feedback on items you would like to see filtered to your Inbox. Below is a dialog from POSTINI on describing the process.

Q: Submitting spam for Review
How do you submit spam messages that get through Postini's filtering service so that the Postini development staff can use it?

A: Send spam messages as an email attachment to spam@postini.com.

Additional Information
Open a new email message in Microsoft Outlook or Outlook Express. Drag the sample spam emails from the list view into the new email message.

Messages sent to spam@postini.com are collected for evaluation. Postini collects them to get a large representative sample of the spam that is out there. Postini development staff evaluates them and uses them to make adjustments to the filtering engine. Do not expect feedback from Postini regarding the spam submission.

If the spam messages are not sent as attachments, they will be discarded since they will not contain all necessary information, such as internet mail header information.

Mailing spam@postini.com will auto-generate a reply once per week per user. If a user has not been sent an auto-reply within the past week, Postini will send the message informing the user what to expect.

As with virus scanning, Postini can only react to new spam techniques as they are developed. Postini engineers always work as quickly as possible to update filter heuristics to adjust to different spam patterns. Postini appreciates the patience, time, and effort it takes to submit new messages to spam@postini.com.

For over 75 years Stritt & Priebe, Inc. has serviced the industrial and institutional community with piping products and steam specialties.

Stritt & Priebe is a privately held New York State Corporation which was started in 1922 by John W. Priebe and Harry Stritt as a pipe, valve and fitting supply house. The original location of the company was in an old church building on the far west side of Buffalo near the Niagara River. The church, now an official Buffalo landmark, was one of the departure points to Canada on the underground railroad prior to the Civil War. In 1992 the company moved to a modern 35,000 square foot facility at 37 Clyde Avenue in Buffalo.
