While the winter was long for many of us, spring is in the air. Spring is a time for renewal, growth and reflection on where we have been, where we currently are, and where we are going. Now is a great time in business to reflect, and to act. Technology, in many cases, has a role in our actions as we look forward to our challenges and goals, as we continue to strive in business.

Office 2007 – Bring Back the Menus

Add In Tools Office 2007 Menus As many businesses avoided Microsoft Office 2007, users are now slowly making the switch from Office 2003. As previously mentioned in Copeland Data News – the 2007 office products, for the most part, have changed in their navigation by having “ribbon” access to its functions.

For many of us, the ribbon has been problematic. Many users want back their menus that they knew and loved.

A company called “Add In Tools” has been listening, and they have created menus for all of the Office 2007 product. Priced at $29.95 per user, this solution may be worthwhile considering. You can also give it a 15 day test drive for free. Visit Add In Tools  for more information.

Constant Contact

As some of you may already be aware, we have partnered up with Constant Contact, an email marketing provider. Constant Contact allows you to quickly and easily do the following:
  • Create a great looking HTML based Email, using built in templates or your own HTML code, if you are so inclined. Emails are typically setup for: Newsletters, Product Announcements, Customer Surveys, etc.
     
  • Setup Mail lists on the Constant Contact servers, under your account. These Mail lists can be imported from Outlook or can be imported from your business systems.
     
  • With one click, you can send your message to the Mail list of your choice. Email gets sent from their servers, not yours, which has many advantages.
     
  • You can analyze the results of your Email and determine how many users opened the Email, how many clicked through the various links, etc. This is an effective way to quantify the effectiveness of the Email, so changes can be made the next time around.

Constant Contact is a great way to keep your organization in front of your customer.
The various ways Constant Contacts is used includes:

  • Businesses send out a monthly Newsletter to all of their customers
     
  • Organizations like Schools and Churches send out weekly updates to parents and members.
     
  • Businesses use it to send out information on a new product or service that is being offered
     
  • Businesses use Constant Contact to annually survey their customers – allowing the business to better provide for the customer’s needs.

Windows Server 2008 and Exchange Server 2007

Windows Server has grown to new levels with Windows Server 2008. Windows Server 2008 is being primarily released as a 64 bit product (there is a 32 bit version available, but only for a limited time) and is the successor to the “5 year old” Windows Server 2003. Exchange Server 2007, the latest messaging platform, is also a 64 bit product and will run on Windows Server 2008. For additional information on Exchange 2007, see the following link:

Spyware – the Latest Fight

Spyware on your PC whether at home or in the office, continues to be a nuisance for all of us. As spyware continues to be more sophisticated and tougher to tame, there fails to be one tool to “take care of every type Spyware activity”.

One of the better tools today is Search and Destroy from Spybot. This latest version has been enhanced to monitor in real time, as well as scan on demand. Download the latest Search and Destroy HERE. It is recommended that you get the latest updates and do a full scan routinely – either weekly or monthly. This is especially true for your PC’s at the homestead.

Backup

There is no question that today’s hardware is much more reliable than hardware was 10 or 15 years ago. Disk drives are faster, have more capacity, and are much more stable than ever before in history.

However, do not let your guard down when it comes to protecting your digital assets in your organization. Proper execution of a backup plan is as critical as ever. For many businesses, there is less paper than ever before, which always means that more information is stored electronically today than was stored in the past.

Imagine coming into your organization on a given morning all to find out that your systems are down and you no longer have access to any electronic media. Hardware failure or even a fire can easily create this scenario, so this is not very far-fetched. There have been many documented stories how various businesses have completely “lost all digital information” which means they have “lost months of time” and “lost customers” – all due to poorly executed backup plans.

A backup plan needs to include media rotation cycles of 5 or 10 days, as well as a procedure to make sure, at any point of time, a set of media is “off site”. This is critical, as without an offsite copy of backup, a file or other devastation in your building could completely wipe clean any information from your systems – forever. Many companies error on this fact – you need to have an OFF SITE copy of the backup at any point in time.

Please take the time to review your backup procedures, making sure that each backup is reviewed and logged, and that you account for having a set of media offsite at any point of time.

CDS – Your IT Department

Many of our customers have streamlined their operations and cost by not having I.T. personnel on staff. We at Copeland Data Systems have been performing this function to our customers, as we are just an email or phone call away.

As many of you may know, we have streamlined communications and the sharing of issues and problems by developing CDS Online – a section of our website at www.copelanddata.com.

Many of our customers logon via their personal login and password and create new projects or areas of concerns. This automation expedites the project or problem resolution process, as the system will automatically take this information and update our internal systems. Additionally, internal “problem solvers” here at CDS get notified instantaneously as the project is submitted.

In addition, the end user can monitor the process of their projects at anytime in the CDS Online system. In addition, an “auto-report” is generated and sent to the end user each Monday – giving the end user a summary and status of every project.

Our customers like using CDS Online because:
  • It is easy to get into and submit a project or service request.
     
  • It provides an immediate audit trail of the submission via Email back to the customer.
     
  • No worry about Emails caught in SPAM FILTERS or phone calls not being returned quickly because an associate at CDS is not at their desk.

  • Without any effort on the part of our customer, an Email “Auto-Report” gets sent each Monday from us laying out “what is open”, “what is complete”, etc.

Additionally, CDS Desktop is a “sister” application to CDS Online, and allows the user to install an application which manages the same information that CDS Online does.

  • Like CDS Online, projects and service requests can be easily submitted.
     
  • Like CDS Online, an immediate Email audit trail is emailed back upon submission.
     
  • Like CDS Online, no SPAM FILTERS or missed phone calls to stop progress.
     
  • Like CDS Online, customers can monitor projects or requests easily. A Monday “Auto-Report” will be generated each Monday.
     
  • Unlike CDS Online, the application is always running on your desktop, so there is no need to go to the web. It remains “out of the way” until you want to use. Customers like the fact that CDS Desktop is always running and always available – no need to fire up Internet Explorer or Firefox.

Customer Profile: Hamstretch.com

Steve Nichols using his Hamstretch Hamstretch - the hamstring stretching device was invented by Steve Nichols, the inventor of the Jacobs Ladder exercise machine. It is true that "necessity is the mother of invention." Steve's hamstrings were almost always tight and sore. The only way to get a comfortable and effective stretch was to have another person push the leg back. The big trick was coming up with a way of keeping the knee from bending. An extra bonus was having the ability to do PNFs or isometrics.

In the process of researching hamstrings it was discovered that Steve's left hamstring was much tighter than his right. This caused the pelvis to tilt to the left. This in turn caused his lower spine to slide out of place, sending him to the chiropractor twice a month. Since doing a lot of stretching, doctor visits have been reduced significantly.

Tom Idziak has used the product and writes “I tore a hamstring years ago playing soccer and I never could stretch enough to get it loose. I got a Hamstretch and use it before every soccer practice and don’t feel any tightness at all. It is light, simple to use and it works!! “
